จดหมายเหตุ, สถาบันจดหมายเหตุ, หอจดหมายเหตุ, Example:Archives มีความหมาย 3 ประการ ดังนี้ 1. เอกสารที่ส่วนราชการ รัฐวิสาหกิจ หรือเอกชนผลิตขึ้นเพื่อใช้ในการบริหารหรือการปฏิบัติงาน ซึ่งแสดงถึงประวัติและพัฒนาการของหน่วยงานนั้น ๆ เอกสารเหล่านี้ได้รับการสงวนรักษาไว้อย่างถาวรในหอจดหมายเหตุเพื่อเป็นหลักฐานสำคัญในการศึกษาค้นคว้าอ้างอิง การวิจัยเชิงประวัติศาสตร์ และการตัดสินทางกฎหมาย จึงเป็นมรดกทางวัฒนธรรมที่สำคัญยิ่งของชาติ จำเป็นต้องได้รับการจัดเก็บรักษาไว้อย่างเป็นระบบ และถูกต้องตามหลักวิชาการจดหมายเหตุ เอกสารสำคัญนี้ เรียกว่า จดหมายเหตุ หรือ เอกสารจดหมายเหตุ (Archival materials) 2. สถาบันหรือหน่วยงานที่รับผิดชอบในการดำเนินงาน การจัดหาหรือรับมอบ การจัดเก็บดูแลรักษา และการถ่ายทอดสาระของเอกสารไปสู่ผู้ใช้ตามหลักวิชาการ ความหมายนี้ เรียกว่า สถาบันจดหมายเหตุ หรือ หน่วยงานจดหมายเหตุ (Archival Agency) สำหรับหน่วยงานราชการที่รับผิดชอบในการบริหารงานจดหมายเหตุระดับชาติของไทยในปัจจุบัน คือ สำนักหอจดหมายเหตุแห่งชาติ กรมศิลปากร 3. ตัวอาคารหรือส่วนของอาคารที่เป็นที่จัดตั้งหรือที่ทำการของสถาบันจดหมายเหตุหรือหน่วยงานจดหมายเหตุ ความหมายนี้ เรียกว่า หอจดหมายเหตุ (Archival Repository) [บรรณารักษ์และสารสนเทศศาสตร์]

Open Archives Initiative

โครงการริเริ่มคลังสาระถาวรด้วยเทคโนโลยีแบบเปิด, Example:Open Archives Initiative (OAI) เป็นองค์กรที่จัดตั้งและได้การสนับสนุนจาก Andrew W. Mellon Foundation, the Coalition for Networked Information, the Digital Library Federation, และจาก National Science Foundation OAI พัฒนามาตรฐานและส่งเสริมการใช้มาตรฐานสำหรับการทำงานเครือข่ายข้อมูลต่างระบบ โดยมีจุดมุ่งหมายที่จะช่วยให้การเผยแพร่เนื้อหาความรู้เป็นไปได้ง่ายและสะดวก OAI เสนอกลไกสำหรับเจ้าของสารสนเทศให้เปิดเผยเมทาดาทาที่ใช้ เพื่อให้ระบบสามารถใช้เทคโนโลยีในการค้นและเข้าถึงข้อมูลหรือเอกสารได้ ผลงานหลักของ OAI คือ กรอบทำงานในการเก็บเกี่ยวเมทาดาทาจากแหล่งสารสนเทศ (repository) หลายๆ แหล่งและโปรโตคอลที่ใช้ในการเก็บเกี่ยวที่รู้จักกันในนาม OAI Protocol for Metadata Harvesting (OAI-PMH) OAI-PMH จึงเป็นการหาข้อมูลทั้งหมด จากนั้นจึงแปลเมทาดาทาของเดิม (Native metadata) ไปเป็นหน่วยข้อมูลที่ใช้กันโดยทั่วไป และนำออกเพื่อการเก็บเกี่ยว (Harvesting) ตัวให้บริการคำค้นจะรวบรวมเมทาดาทาเข้าไปเก็บไว้ในดรรชนีส่วนกลาง (คลังเก็บคำค้นส่วนกลาง) เพื่อให้มีการสืบค้นข้ามแหล่งเก็บนี้ได้ ดังรูป <img src="http://thaiglossary.org/sites/default/files/20120829-OAI-PMH.jpg" width="540" higth="100" alt="OAI-PMH"> รายการอ้างอิง Open Archives Initiative. http://www.openarchives.org/OAI/OAI-organization.php.
